This notice explains what personal information we collect when you use The Plan Hub, why we collect it, how we look after it, and the rights you have under UK data protection law.
1. Who we are
The Plan Hub is operated by The Plan Hub Limited, a company registered in England and Wales (company number 12525589). For the purposes of UK data protection law, we are the controller of the personal data described in this notice.
2. What we collect
When you make an enquiry through the site, we typically collect the following:
- your name;
- your phone number;
- your email address;
- your postcode, and any optional information you choose to share about the property;
- information you give us about your project, including notes, sketches, or images you upload;
- any voice recording or transcript you submit through the enquiry flow;
- where the project has a second decision-maker, that person's name and email address, with their permission.
We do not ask for, and do not knowingly collect, special category data such as health information. Please do not include anything of that kind in your enquiry.
3. Why we collect it
We use this information to respond to your enquiry, to prepare initial guidance for a human to review, and to keep a record of our work with you. Our likely lawful bases under Article 6 UK GDPR are:
- Legitimate interests — to handle and respond to your enquiry, run our service, and keep proper records;
- Consent — where you opt in to receive emails from us that are not strictly necessary to handle your enquiry; you can withdraw consent at any time;
- Contract — where we go on to work with you, to take steps at your request and to perform that work;
- Legal obligation — to comply with our accounting, tax, and other statutory duties.
4. How long we keep it
We keep enquiry information only for as long as we need it to deal with your enquiry and our relationship with you. Records connected with a project we go on to deliver are kept for as long as we need them for that project and any follow-on obligations. Financial and tax records are kept for the period required by law. When we no longer need information, we delete it or anonymise it.
5. Who we share it with
We share personal data only with the people and providers we need to:
- Resend, which sends our transactional and reply emails;
- Supabase, planned as our data store for enquiries and project records;
- professional advisers we engage on a confidential basis, where relevant to your project;
- regulators, law enforcement, or courts, where we are required by law to disclose information.
We do not run advertising trackers on the site, and we do not sell personal data.
6. International transfers
Some of our providers process data outside the United Kingdom. Where this happens we rely on the safeguards required by UK data protection law to make sure your information receives an essentially equivalent level of protection.
7. Your rights under UK GDPR
You have the right to ask us for a copy of the personal data we hold about you, to correct it if it is wrong, to ask us to delete it, to restrict how we use it, to receive it in a portable format, and to object to certain uses. Where we rely on consent, you can withdraw it at any time.
